4. Where we get personal information from

5. How long we keep information
We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
Financial and Tax Records: We keep invoices, expense receipts, bank statements, and client billing details for 6 years following the end of the relevant financial year to comply with HMRC tax laws.
Contracts and Agreements: We retain signed client contracts, scopes of work, and model or property releases for 6 years after the contract ends to protect against legal claims under the UK Limitation Act.
Business Correspondence: We keep emails and text messages relating to project scopes, creative sign-offs, and revisions for 6 years from the date the project completes to serve as evidence of contract fulfilment.
Client Contact Information: We store the names, business email addresses, and phone numbers of individual contact persons at client companies for 2 years from the date of our last active business interaction.
Marketing Preferences (Opt-ins): We keep details of your marketing preferences and opt-ins for up to 2 years from your last engagement with our marketing materials.
Marketing Opt-outs and Unsubscribes: If you choose to opt out or unsubscribe from our marketing communications, we will retain your email address on a suppression list to ensure marketing preferences are respected and remain compliant with UK law.
Creative Assets (Copy and Photography): Final delivered copy, photography, and portfolio materials may be retained for portfolio, reference, and business purposes, unless a request for removal is received and there is no overriding legal requirement to retain them.
Your Right to Erasure (The Right to be Forgotten)
You have the right to request that we delete or remove your personal data from our systems ahead of our standard retention periods.
Please note that this right is not absolute. While we will immediately honour your request to delete marketing records or inactive contact details, we cannot delete records that we are legally required to retain. This includes financial invoices required for HMRC compliance, and signed contracts or critical project correspondence required to defend or establish legal claims.
